The automation feature allows users to automate repetitive tasks by setting Triggers and creating Actions if the trigger conditions are met. The current version automates workflows using existing erxes features such as Contacts, Forms, Team Inbox conversations, Team Members, Deal/Ticket/Task Cards.Â
Overview
- Filter menu for all automation
- Button to create a new automation
- Details of the automation, such as the number of triggers/actions, created date, user, etc.

Once you create automation, you will see:
- Automation Title
- Actions tab where you set your triggers/actions
- Histories tab where you can see what actions have been performed, where and when
- Automation Status toggle button
- Zoom in/out button
- Number of items found by the trigger
- Add Note/Delete action buttons enabled by hovering over the box
- Trigger and its preview description (to be updated)
- Connection line between triggers and actions
- Action and its preview description (to be updated)

Triggers
To create triggers, you can either start from scratch or choose from the Library, which we will populate in the coming weeks. But users can also create their own templates from previously created automation and populate their own Libraries.
When you're starting from scratch it will take you to the trigger filters. You can filter and group items with these Trigger Types:
- Contact-based (which includes Form submissions by Contacts)
- Company-based
- Conversation-based
- Task-based
- Ticket-based
- Sales Pipeline-based
Filters that can be organized into:
- Segments
- Segment Groups
The relation between these segments can be set differently by clicking on AND/OR.
In the re-enrollment tab, you will decide when to trigger this automation. For each automation, it is required to enable the re-enrollment and choose which criteria will trigger the automation. In this case, this automation will work when a conversation is tagged with a specific tag while still matching the content criteria:
Re-enrollment is an important part of the automation. To avoid duplicates or unnecessary actions, please ensure your trigger filters are set correctly. Automation feature will only work with the items updated since the launch of this feature. Actions
Here are the available actions at the moment:
- Branching based on if conditions
- Manage properties:
- Update contact properties
- Update/move cards between stages
- Update conversation properties, i.e. open/resolve a conversation, etc.
- Create new Deal/Ticket/Task cards
- Convert a conversation into a card
- Assign to team members while creating a new card, etc.
- Delaying actions by days/hours
External Communication actions are not available in the beta version as it could create confusion for your customers if the automation is not set correctly. We will enable it within 2021.Â
Troubleshooting
How to check if the automation works?
- Go to your automation by clicking on the edit button
- Check the number of items in the Trigger box
- If the trigger works and found items:
- Click on the Histories tab
- If no logs are written, contact us to report a bug.
- If there are no items found with the trigger
- Check if your trigger filters are set correctly
- If you're certain that there are items matching the trigger criteria, but the trigger is finding those items, contact us to report a bug.

- use the feedback tool at the top right
- if you're using a SaaS version, send a message to us through the in-app chat with the following details:
