Setting up email templates is an easy way to efficiently save your organization's time. Rather than manually writing an email for each occasion, you can set up email templates for regularly sent emails.

Email templates are pre-set emails that can be automatically sent to your clients. We use email templates for our regularly sent emails. Not only does this make it easier for the entire team, but also for your customers. The templates can be configured to look like the following:

Using your email templates to send in your campaigns is a great way to use this functionality. This makes sending out mass emails easier and simpler for your organization. You can also customize attributes in your email templates to personalize the emails to each customer (e.g adding the customer's name to the email). You can create your planned email templates in your settings. Please follow the following steps:
- Go to your settings on erxes
- Go into your email templates (found in your multipurpose settings)
- Click new email template
- Write your email template

How we use email templates for campaigns
We use campaigns, when we are sending many emails to our clients. We use campaigns to send out product updates, complaint updates, etc. You can read more about this here. Here is how you can set up your own campaigns with these preconfigured emails.
- Go to your campaigns (found on the marketing tab)
- Create a new campaign
- In the ‘Compose your campaign’, select the appropriate email template. You can find out more about creating campaigns here.
- Send and make your campaign live.
Subsequently, the email template will be tied into your campaign. Without rewriting the email for each client, you can send this email to your desired amount of clients automatically.
How we use email templates for regular emails
We also use email templates when sending out regular manual emails. Rather than sending a large campaign, when we need to send singular emails, we use this option. Here is how you can send manual emails with these preconfigured emails.
- Go to your team inbox
- Click ‘Send a new email’ (found on the top of the page)
- Choose the email you like it to be sent from, the subject line, and the recipient
- Select the appropriate email template.
- Send the email
Note: You can always edit your email templates either in the template in itself or when creating the campaign/manual email.
